Fresno Sales & Escrow Coordinator

 Sales & Escrow Coordinator

 

Core Responsibilities:

Work with sales agents, buyers, lenders, title companies and coworkers to track the process of home sale through home closing and ensure paperwork is correct.

·         New subdivision set up

o   Order sales office furniture

o   Create sales contract, model home feature disclosure, general disclosure, etc. for new subdivision specific LLC

o   Make copies of start up information for sales agents

o   Gather information for public report submittal

o   Create folder file labels for each lot

o   Copy CC&Rs, Bylaws, Articles of Incorporation, Public Reports

o   Create office subdivision book which includes: budgets, lot releases, premiums, price sheets, standard feature list, floor plans, plat map, address list (updated regularly with new pricing info, lot release memos, etc.)

·         Process new contracts, addendums and cancellations

o   Margin calculations

o   Entry into Status Report

o   Entry into People Soft

o   Verify that outside vendor selection sheets match standard option selections (addendum A), i.e. granite counter top, fireplace, etc., noted on flooring sheet should also have standard option in People Soft selected.

o   Execute, copy and distribute to appropriate parties

·         Filing of lender approvals, termite certifications, C of Os, etc.

·         Prepare plans and specs for government loans

·         Prepare closing information for title and mortgage companies (i.e. print out stating deposits, realtor commissions to be paid, earnest deposits, etc.)

·         Receive walkthrough ranges from superintendent

o   Log into Status Report

o   Inform sales agent of range and instruct them to relay info to the buyer

·         Call superintendents for firm walkthrough and orientation dates approx. 30 days from first date in walkthrough range

o   Inform sales agent of firm dates and instruct them to relay info to the buyer

o   E-mail loan officer, processor and Title firm dates.

o   Log into Status Report

o   Log into monthly calendar

·         Create and mail letter to buyer 30 days prior to close – includes walk, orientation and signing appointments.  Informs buyer of where they need to be and what to expect at those appointments.

o   If preferred lender, only letter is mailed. If outside lender, entire copy of contract (including all addendums and earnest money receipts) is mailed to buyer with letter.

·         Approve preliminary HUD prior to buyers signing of loan documents

·         Upon close of escrow

o   Notify sales agent and superintendent of closing

o   Create incoming wire request

o   Update Status Report

o   Log into closing calendar

o   Input realtor commission into People Soft

o   Create sales journal in People Soft

·         Forward warranty enrollment forms to corporate

·         Backlog meeting twice monthly with Sales President, Director of Construction, Lender/s, Sales Agent and Superintendent.

o   Discuss current status of all homes under contract (started & not started)

o   Question status of lots with any outstanding information, i.e. SOH, credit approval

·         Update/Create Reports: 

o   Weekly Sales Database          

§  Enter sales, cancels, traffic, starts, closings – update weekly and replicate for corporate use

o   Traffic Report

§  Ryness Report – update and fax

§  Metrostudy Report – update and e-mail

o   Status Reports – update with current buyer info, i.e. addendums, additional earnest monies paid,  receipt of credit approval, etc.- copy and distribute weekly

o   Sales/Starts/Closings

§  Total of all sales starts and closings for the month per subdivision – email to corporate, copy and distribute

o   Price increase

§  Input amount of increase and effective date per subdivision- copy for Norm and subdivision book

o   Source of Sales Report  – update and e-mail to corporate

o   Offers Report – update and e-mail to corporate

o   Closing Projections Report – update and e-mail to corporate

o   Commissions Report – update and e-mail to corporate

o   7 Month Closing Projection Report – update, copy and distribute

·         Calendars:  input/update closings, walkthroughs, orientations, etc.- copy and distribute weekly

·         Update Fresno division page of Woodside website

·         E-mail any potential buyer leads to sales agents

Network Administrator / Help Desk

  Woodside Homes in North Salt Lake is accepting applications for the position of Network Administrator / Help Desk.  Position will administer all aspects of network and data security and provide help desk support.  Position will administer all Telcom services.  Position will also assist with other IT projects and implementations as needed.  Requires 2+ yrs direct experience with network administration.  Good organizational and interpersonal skills are also required.  Ability to multi-task and desire to learn new skills is a must.  Email resumes to [email protected].

Systems Administrator / Help Desk

 Woodside Homes in North Salt Lake is accepting applications for the position of Systems Administrator / Help Desk.  Position will administer a blade server / SAN / VMWare environment.  Position will administer a Windows Domain network as well as provide Windows Domain help desk support.  Position will also assist with other IT projects and implementations as needed.  Requires MCSE certification.  Requires 2+ yrs experience with Windows Domain administration.  Woodside Homes is looking for a Division Controller in its San Antonio, TX Division.  Applicant will be responsible for day to day accounting, financial reporting, and analyzing data.  Candidate must be proficient in Excel and data analyzation.   Exprience with JD Edwards a plus.  Minimum qualifications will include a Masters in Accounting.
